The challenge 

Grundfos is a global leader of energy-efficient water solutions for use in homes, buildings, industries, utilities and agriculture. The company’s purpose is to pioneer solutions to the world’s water and climate challenges and improve quality of life for people. Grundfos has a vast range of products and systems being manufactured all over the globe. This comes with a wide variety of internal and customer-focused documentation. 

The company decided to migrate their documentation and all content into a more modern and robust system, starting in 2020. This project required thousands of pages of content to be collected, checked, evaluated, and then transferred into a new system, while keeping or improving the documentation integrity and quality. Development did not stop during this process and updates also had to be tracked for improved products.

Grundfos has signed a long-term agreement with Sigma Technology Hungary to provide documentation experts for the migration process and beyond.  

 

Sigma Technology’s involvement 

Sigma Technology has a long history of document migration and support, and this level of experience became the basis of our cooperation.

During the 4 years of our partnership, we faced a changing world together. As the migration scaled first up and then down, we have adapted to the requirements by positioning our consultants to the areas where Grundfos benefited most from their work: 

  • The primary focus of the work was an intense migration period of about a year and involved moving the largest bulk of the content into the new system.  
  • After the migration process started scaling down, the technical writers working on the migration gradually moved into the newly formed cross-functional teams, where they provided documentation services in the new system for teams of mechanical engineers and data specialists. 
  • Localized content is an essential part of the documentation process for manufactured products, so we got involved in translation management and terminology management as it was adjusted to the new documentation system after the migration.  
  • Physical products come with printed material perfected by the publication team. Visuals are designed by the graphical team members.  
  • As graphical team support increased, we started providing 3D modelling and rendering skills, as well. 
  • In the meantime, the writing team moved into new product areas, supporting engineering teams, where required. 
  • We now provide test architect services, creating and implementing test strategies for an automated photo and 3D rendering tool for a CICD framework and a data warehouse. Execution of the developed test strategies aims to improve product quality.  

 

Grundfoc case study

During these 4 years, we have conquered the challenges of a pandemic, new tools, new methodology of work, new product introductions. Our team members have become an integral part of Grundfos, working as part of their team, providing all their skills and knowledge. 

 

Conclusions 

Grundfos aim is to develop robust handling of products and systems across their entire lifecycle, from idea to market, and all the data and information that enables the company to collaborate efficiently and make the right decisions. Sigma is ready to support this journey by having a range of skills and work experience on a variety of projects of different sizes, using various tools and technology that our clients can use to their advantage. We can grow with the client, exchange knowledge, and learn from each other.  

Our long-term contract and cooperation with Grundfos allowed us to discover more areas of work where we could supplement each other, gradually expanding the team with the required subject experts and broader capabilities.
